Recognise the friction

Repeated copying between tools, inconsistent records and workarounds that only one person understands can signal that the current setup needs attention. Map these problems and their business impact before assuming a complete rebuild is necessary.

Compare three paths

Consider improving your existing tools, connecting established products, or building a custom system. Compare the fit with your workflows, migration effort, ongoing costs, operational responsibility and ability to export your data.

Choose a small first release

A useful first version supports a complete, narrow workflow. Agree who will use it, what they must be able to finish and how you will know it works. Keep optional features on a later roadmap rather than crowding the first release.

Plan beyond the launch

Ownership, documentation, access management, backups, maintenance and future changes belong in the project discussion from the beginning. A custom system becomes part of how your business operates; its support needs continue after delivery.
